URGENT: secondment replan for CITY replacement
Dear all, in order to proceed with the withdrawn of CITY and its consequent substitution with the Technical University of Crete (with the research group of Prof. Sotiris Ioannidis), who already had a preliminary positive feedback by the PO, we should agree on the replan of the secondments, taking into consideration that sending and hosting organizations can not be in the same country, and that academics can second only to non-academics. Please find attached an excel with the secondments list. In the first sheet you can find the original planning; in the second sheet I substituted CITY with TUC and highlighted in red the inconsistences w.r.t. the original plan. In the third sheet, you can find our proposal where we adapted the hosting organization only (highlighted in green). This will allow us to keep unchanged the PMs (and thus secondments) allocated to each partner. Please all of you take a look to this new plan and give us your feedback within tomorrow EOB. We would like to open this amendment within this week. The PO granted us priority for this. Following her indication, after that we can open the second amendment with the extension and the change of premises of STS. We still have to contact her to communicate the outcomes of the meeting (we would like to do it just after opening the withdrawn amendment), and the substitution procedure was already agreed before the kick off. We have updated the spreadsheet with our secondments.
We have observed that the new plan does not address two key issues:
1. The request for an extension of the project by 16 months and a corresponding shifting of the schedule of WPs, deliverables and (very importantly) secondments.
2. The request to replace SPHYNX TECHNOLOGY SOLUTIONS AG by SPHYNX ANALYTICS LTD in the project
In the attached spreadsheet, you will find our secondments plan changed to address the above points.
We have also highlighted (in red) secondments of other partners which cannot take place if (2) is accepted.
Also, we think that the entire plan should be changed to reflect point (1) above
(we did for us but other need to do the same for their secondments as well).

contact the PO in order to ask for an extension of the project for 16
months (preferably), change of beneficiary's STS base from Switzerland to
Cyprus, along with the change of beneficiary CITY to TUC
we will all then make appropriate changes for the secondments start dates,
and destinations accordingly.
secondments adaptations/edits can be prepared in a day or so by all
beneficiaries.
If we don't know whether a. the extension, b. change of STS base, and c.
change of beneficiary CITY to TUC are approved or not we cannot submit
final adaptations/edits to the secondments

sorry if we didn’t explain it clearly during the kick off.
During our last call with the PO, we already expressed our request of having an extension and changing the premises of STS, along with the substitution of CITY.
However, she asked us to process them in two separate amendments, since the extension and the substitution of the premises, she said, will take more time to be approved, where the withdrawn should be concluded within this month.
When opening the withdrawn amendment, we must indicate the substitute and the new secondments plan. We are also thinking to include in the plan the secondments of CUT that are already in place, to make it more consistent.
As soon as we open it, we will contact her and schedule a call to communicate the outcomes of the kick off and ask the extension of, at least, 16 months, along with any other issues that came during the discussion.
For this reason, in this first re-planning, I didn’t take into consideration the extension and the change of premises. It was only to speed up the process.
